Prepare Dutch warehouse releases, packing details and onward freight planning before collection for Iran.
Identify who can release the goods
The seller, the warehouse and the party arranging transport may be different organisations. Obtain the warehouse name, full address, contact details and release reference. Ask the seller to confirm that the warehouse has the necessary release instruction. Sending a truck before that instruction is in place can leave the collection unresolved even when the goods are physically ready.
Confirm the collection appointment
For a warehouse in Rotterdam, Amsterdam, Eindhoven or another Dutch location, ask about opening hours and appointment procedures. Share the information with the party coordinating the vehicle. Confirm loading equipment, vehicle access and whether the driver needs a reference number. Agree how any last-minute change to cargo readiness will be communicated.
Check the final packing list
Use the warehouse’s collection-ready package count, gross weight and external dimensions. If goods have been repacked, ask for the updated figures rather than copying the seller’s earlier estimate. Mark non-stackable pallets, fragile cases and any handling restrictions. Cargo photos can help clarify packaging or access questions, but they do not replace measured dimensions.
Clarify the status of the shipment
Ask the seller or warehouse to identify any release or export steps still outstanding and who is responsible for completing them. Share available commercial and transport information with the forwarder before pickup. Required procedures depend on the actual goods and movement; a warehouse location alone does not establish which documents are sufficient.
Choose the onward mode after release planning
Road FTL or LTL, air and sea options should use the same pickup-ready cargo details. For a small urgent consignment, request an air comparison. For containerized loads, include the warehouse-to-port leg and destination scope. Any proposed routing and carrier acceptance must be reviewed for the particular shipment before a departure is committed.
Close the loop after collection
Ask for confirmation of the quantities collected and note any packaging or count discrepancy promptly. Keep the pickup reference, agreed scope and updated packing information together with the shipment correspondence. If several Dutch suppliers are involved, maintain a separate release status for each one so an incomplete collection does not remain hidden within a combined order.
